Terms and Conditions

We look forward to welcoming you to Les Chauvins. When you make a booking you are entering into a rental agreement with us and you are confirming your agreement to these terms and conditions on behalf of your group. Please therefore take the time to read our terms and conditions below which form ‘the contract’.

Please note the payment and cancellation policy below before committing to a reservation.

The payment of a 25% booking deposit at time of booking will secure the dates for your stay at Les Chauvins. The deposit is fully refundable up to 42 days (6 weeks) before the booking start date.

Full payment is due 6 weeks prior to arrival. If you make a booking within 6 weeks of your arrival date, payment is required in full at the time of booking. If the balance payment is not received within 48 hours of the due date, we reserve the right to release the dates. Please remember that the booking deposit is non-refundable within 6 weeks of the booking start date .

We also require the submission of a completed Guest Information Form which lists the names of all guests staying at the property. Only those persons named under this contract are permitted at the holiday rental property. No person or persons, or their vehicles, not specifically named on the Guest Information Form shall occupy the property or grounds at any time, unless prior permission has been given by the owners.

Under certain circumstances, additional guests may be accommodated at the owner's discretion, subject to prior approval and a surcharge will apply. Please contact us for details (infants in cots are not included in this costing).

Cancellation by the guest

We are a small business, so cancellations can have a big impact on us, especially if we have turned away potential guests in favour of someone who has already booked and who then cancels. We do however appreciate that unforeseen circumstances can arise, and we try to be as sympathetic and helpful as possible in such cases.

In the event of a cancellation up to 6 weeks prior to the scheduled date of arrival, you will be liable for the full cost. Guests failing to arrive, without notification, will be responsible for the full cost.

We take all bookings in good faith and as we are unable to judge reasons for change, cancellation or non- arrival; guests are reminded that no exceptions to the above conditions will be made and that any bookings with Les Chauvins for accommodation form a legally binding contract. For this reason, we advise that you take out a suitable insurance product to cover against unexpected costs such as cancellation fees. We, of course, retain the legal right to recover any outstanding debts.

Cancellation by us

Should it become necessary for us to cancel a booking, we will contact you immediately. Any payments made will be refunded in full and we will do our best to help you find alternative accommodation in the local area. Our liability will not extend beyond these conditions.

Security Deposits

A €400 Security Deposit is payable and will be pre-authorised on your debit card on the day of your arrival. This will be released 3 days after your departure should there be no additional cleaning or breakage charges applied (as per the damages and breakages clause below). The same amount is payable whether the properties are booked separately or together.

Tourist Tax (Taxe de Séjour)

The French Government charge a tax for tourism called the Taxe de Séjour or Tourist Tax. This tourist tax is collected by accommodation providers and rental platforms in order to finance part of the expenses related to tourism and therefore it is mandatory for us to collect this from all adult guests staying at Les Chauvins. We then have to pay this to our municipality. We have included this tax in your booking fee.

Arrival and Departure

Check in is available from 17.00 on the day of arrival. If there are no guests staying the day before your arrival, we may be able to provide you access before this time, however check-in times outside of those specified must be confirmed by us prior to the day of arrival.

We can offer contactless check-in and we will provide you with a code for the key safe(s). However, we love welcoming all of our guests personally and show you around the accommodation and facilities.

We ask that you please vacate Les Chauvins by 10.00 at the very latest on the morning of your departure so that the properties can be made ready for our next guests. If there are no guests arriving on the same day it may be possible to offer later checkout, we will let you know if this is possible. Again, this is by prior agreement only.

Damage and Breakages

We invite you to make yourselves at home in Les Chauvins, but ask that you please respect and take care of our property/properties and their contents. You are responsible and liable for any breakages or damages which you or any fellow guests cause to the accommodation or its contents. Please let us know as soon as possible, especially if you accidentally spill something, as it’s much easier to clean if we know what it is and can act quickly.

If anything is damaged or broken, informing us straight away means that we can ensure the continued enjoyment for you and for our next guests. We do not normally charge for minor breakages, but we reserve the right to charge for repairs or making good if the damage is significant.

Please do not apply or use fake tan in our bedrooms and bathrooms - any linens, towels and soft furnishings stained with fake tan will be charged for. If professional cleaning is required to remove stains caused by fake tan products, you will be asked to pay the bill. Similarly, please wash off sun cream before bed at night to avoid damage to linens and soft furnishings. Any staining that cannot be removed will be charged for.

The use of P20 sunscreens are not permitted at Les Chauvins as they permanently stain the towels, bed linen and the pool liner. We also ask that you wash off excessive tanning and suncreams/oils before swimming as these stain the pool liner.

Please ensure that any felt pens that are used are not the permanent type, as we have had bedding and furnishings stained in the past. Likewise, permanent felt tip marks that cannot be removed from walls or furniture will also be charged for.

We reserve the right to supply an additional invoice for breakages exceeding the Security Deposit. In these circumstances receipts for the repair will be supplied to the guest and should be paid for within 5 working days of the invoice date without exception. We retain the legal right to recover any outstanding debts.

Car Parking

Private car parking is available for guests’ use within the grounds in the designated areas and is at the owners’ risk. There is parking for 3 cars for Maison d’Amis and 2 cars for La Chaumière.

Personal Data

Some of the data gathered during the booking process may be held on record. We would like to retain this data after your visit to be able to inform you of future special offers. Wifi

Les Chauvins enjoys a remote location in the French countryside and as such the internet connection can not be guaranteed at all times. Summer storms can sometimes interfere with the network, causing temporary disruptions to the service.

Keys

You will be provided with one set of keys for each property during your stay. These provide access to Maison d’Amis and La Chaumière as well as the games room and swimming pool enclosure. Lost keys will be charged at €10 per key. We always advise that the keys are left in the lock boxes when everyone goes out to avoid loss and also help if you need the flexibility of returning at different times.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees whilst acting in the course of their employment.

Lost Property

We are happy to return items that have been left following departure. However we will ask you to cover any resultant charges with a minimum charge of €10.

Missing Items

We reserve the right to charge for items missing from our rooms and will deduct this from the security deposit, or issue an invoice with receipt for the replacement costs.

Pets

Unfortunately, we are unable to accommodate guests’ pets in Maison d’Amis. We can welcome up to two well behaved dogs in La Chaumière but ask that they are not allowed to climb on furniture and beds and are contained within the private courtyard area unless on a lead. Please make sure all dog mess is bagged and binned immediately. There will be an additional charge of €30 for one dog and a further €10 for a second to cover additional cleaning.

Prices

We reserve the right to change our prices at any time. This does not affect bookings already made.

Smoking

Les Chauvins is a smoke-free home. Smoking of any substance including e-cigarettes/vaping is NOT permitted within any part of the buildings, barn or pool area, excluding the terraces and grounds. We ask that you dispose of cigarettes carefully and responsibly, bearing in mind that in the hot dry summer months there is an increased fire risk. Please note that guests not observing this condition may be asked to leave immediately and may be liable for professional cleaning of any rooms where smoking has taken place. Any outstanding balance of nights booked but not taken, through this early departure will not be refunded.

Swimming Pool (open end of May to end of September)

The gorgeous pool is yours to use during your stay at Les Chauvins. Children are to be supervised AT ALL TIMES and the security enclosure gate must kept closed and locked when the pool is not in use. THIS IS A LEGAL REQUIREMENT IN FRANCE.

When Maison d’Amis and La Chaumière are booked separately, the pool area is available for all guests to share. Please note neither we, the owners, nor our guests, will use the pool during your stay.

Strictly all drinks around the pool must be placed in the plastic glasses provided, NO GLASS IS PERMITTED in the pool area. Pool maintenance will be carried out during your stay, but we recommend that you use the net to scoop out any poor drowned insects and leaves every morning. We respectfully ask that you do not use the pool after 23.00 for your safety and so as not to disturb the neighbours.

Outdoor Facilities

When Maison d’Amis and La Chaumière are booked separately, the pétanque court, large lawn area and games room are available for all guests to use.

Termination Policy

We reserve the right, at our discretion, to terminate, without notice, an individual’s stay where deemed necessary through unacceptable behaviour or as a result of actions which are likely to endanger or offend others (please note that non-compliance of our non-smoking policy may constitute termination). In such circumstances any outstanding account must be settled and no refunds will be made.

Force Majeure

We shall not be in breach of this Agreement if we do not provide the services under this Agreement, and we shall be entitled to cancel a booking if we are no longer able to provide the accommodation, due to one or more of the following circumstances:

Les Chauvins is closed due to fire, alteration, resultant redecoration or national emergency by order of any public authority or any reason beyond our control. There is a failure to supply the property with gas, electricity or water outside of our control. Fire, lightning, explosion, riot or civil commotion, malicious damage, storm, tempest, flood, burst or blocked pipes, earthquakes, or impact resulting in us being unable to provide the booked accommodation.

If any one of the above events occur, we will do our best to avoid any inconvenience and will return any payments made.

Description of the Property and Accuracy

Whilst we make every effort to ensure that our website, online listings and any advertising material is accurate at the time of publishing, we cannot be held responsible for changes or circumstances outside of our control. All information concerning the property whether given verbally or in writing by us, has been given in good faith but any such representations written or verbal do not form part of the contract.

We reserve the right to amend these terms and conditions at any time.

You acknowledge and agree that all intellectual property rights (including, but not limited to, copyrights (including rights in software), trademarks, database rights, patents and inventions) in and relating to the service are owned by us and our licensors or contractors. Nothing in this agreement operates to transfer any such intellectual property rights to you.

We reserve the right to assign or sub-contract any of our rights and obligations under this agreement to our employees or representatives, without giving notice to you. If any provision of this agreement is found to be unenforceable by a court of competent jurisdiction, the other provisions shall nevertheless remain in full force and effect.
